Leadership builds a dashboard: velocity, cumulative flow, and assignee load — not only a burndown snapshot. Roadmap bars are the same tasks. Virtualized lists keep a large backlog readable.
Software delivery
The nest is visible without flattening the list.
Organization → department → project → the item. Three subtask levels below a root. The product rejects a fourth — the UI does not invent extra depth. Delivery works the board and the mindmap on the same records.
Operations and intake
Intake forms land on a list. Status rules do the rest.
A public request form creates a task on a project list — no workspace login. When that ticket hits Review, assign the current sprint and notify QA. When it is Resolved, clear remaining hours.
Engineering and Git
A pull request is a field on the task, not a hallway update.
GitHub and GitLab sit on the item: pull request, branch, and checks. Linking does not require the delivery engineer to hold org-wide credentials — those live with administrators on the backend.
Knowledge
The runbook lives next to the work, not in a wiki nobody opens.
A wiki tree and published articles sit in the project. Mentions stay on the task. Knowledge is not only a note attached to one item, and it is not a second tool the team forgets to open.
Who works where
Leadership, program managers, and delivery share one project.
Permissions are per project. A guest does not see the board. A member can edit tasks. Only admin manages workflow and people.
Leadership
Reports, roadmap, and the audit trail. They should not need to live in the board to know whether the release is on date.
Program and project managers
Lists, sprints, releases, workflow rules, and people. They keep dates honest and share a list without opening every surface.
Delivery teams
Board, nested tasks, comments, Git on the item, and knowledge articles. They update status and stay within the three-level nest.
